How we work Built around your business

From a useful idea to everyday work.

Understand the business. Prove the improvement. Put your team in control.

  1. 01

    Understand

    Find the right problem.

We look at the people, the workflow and the systems around the problem. Together, we find a useful place to start — and whether AI belongs there at all.

Separate the layers. Understand what depends on what.

    What you leave with

    • Opportunity map
    • Feasibility review
    • A clear recommendation
    Explore the deliverables

    Inside this stage

    Opportunity map
A map of the workflow, its current costs and the opportunities worth investigating.
    Feasibility review
A review of data, integration and team readiness, including simpler alternatives to AI.
    A clear recommendation
A recommended first intervention, estimated effort and a clear proceed, rework or stop decision.

    Working together

Time with process owners, relevant workflow documentation and representative sample data.

    The decision

    Is it worth building?

If the value is unclear or the necessary data is unavailable, we revisit the scope or stop before a build.

  2. 02

    Prove

    Demonstrate a useful improvement.

One bounded workflow, tested against the way work happens today. We evaluate it first, then move into a controlled live trial when it is ready.

Connect one useful intervention. Keep the controls in place.

    What you leave with

    • Working system
    • Evaluation record
    • Controls for live use
    Explore the deliverables

    Inside this stage

    Working system
A bounded working system, evaluated on representative data before a controlled live trial when ready.
    Evaluation record
Evidence against agreed measures of quality, review effort, operating cost and adoption.
    Controls for live use
Human review, access controls, monitoring, cost limits and a rollback plan in place before live use.

    Working together

Integration access, an accountable operational owner and feedback from the people using the workflow.

    The decision

    Is the improvement real?

If quality, cost or the experience of using it falls short, we improve the approach, narrow the scope or stop.

  3. 03

    Embed

Make it part of everyday work.

We bring the system into daily use with clear ownership and an agreed way to run it. Keep a useful workflow small, improve it, or expand when there is a reason.

Bring the layers together. Your business, with a useful addition.

    What you leave with

    • An adopted workflow
    • Ownership and runbooks
    • Your support arrangement
    Explore the deliverables

    Inside this stage

    An adopted workflow
An adopted workflow with clear responsibilities, training and an agreed operating arrangement.
    Ownership and runbooks
Project repositories, system documentation and runbooks, with ownership and access made explicit.

An agreed handover or optional PI Square support arrangement, with improvement and expansion considered separately.

    Working together

Participation from the people who use and operate the system, with an agreed owner for future decisions.

    Who runs it from here?

Expansion is optional. Your team can operate the system, or choose PI Square support under an agreed arrangement.

About us

Questions about working with PI Square

What does an AI consultancy do for a business?
An AI consultancy helps you identify where artificial intelligence can solve operational bottlenecks, evaluates data and workflow readiness, and designs reliable solutions. PI Square pairs AI strategy with custom development, integration and a plan for your team to operate the system.
Which AI consulting services does PI Square offer?
PI Square builds six core systems: agentic workflows, enterprise RAG knowledge assistants, intelligent document processing, governed generative content studios, legacy system modernization, and enterprise AI governance guardrails.
Where is PI Square based, and who can work with you?
PI Square is based in Cape Town, South Africa, and is open to engagements worldwide, including Africa, Europe, the United States and Australia. We agree collaboration across time zones, access requirements and data constraints when scoping the work.
How does an engagement with PI Square run?
Understand defines the workflow, constraints and success measures. Prove tests a working system against representative examples. Embed prepares your team to operate it, with agreed documentation, controls and support. Scope and pricing are agreed stage by stage, with combined engagements available.
Where do the AI systems and business data live?
Hosting, access controls, data retention and model-provider terms are agreed for each engagement. We can build in your cloud account where appropriate. Before using business data, we review which providers process it, where it is stored and what their terms allow.
Who owns the code and intellectual property?
We plan for client ownership and operation, with optional PI Square support. The written engagement defines the code, documentation and rights transferred to you, including any third-party components and their licences.

What happens on the call

Bring us one piece of work.

A process that takes too long. A system that gets in the way. An idea you want to test. Start there.

  1. The work today

What happens, who is involved, and what a better result would mean.

  2. Where it gets difficult

The bottlenecks, systems, data and constraints around it.

  3. A useful next step

Whether there is a reason to explore further, and what we would need to learn next.
